SMS Privacy Policy

Introduction

Upboard LLC ("Upboard," "we," "us," or "our") operates an employee onboarding platform that organizations use to enroll and communicate with their newly hired employees. Through the platform, Upboard sends onboarding-related text (SMS/MMS) messages on behalf of its business customers (employers) to their employees who have been enrolled in an onboarding program.

This SMS Privacy Policy explains how we collect, use, protect, and share personal information in connection with those text messaging services.

Information We Collect

When you are enrolled in an onboarding program with a mobile phone number, we may collect:

  • Mobile phone number, provided by your enrolling organization during onboarding enrollment.
  • Name and contact details, such as your name, email address, and role as provided by the enrolling organization.
  • Onboarding information, such as your start date, role, and onboarding schedule configured by the enrolling organization.
  • Activity data, such as your onboarding progress, survey responses, and interactions with messages we send.
  • Message history, including records of messages sent to and received from your mobile number, timestamps, delivery events (sent, delivered, failed), and keywords such as STOP and HELP.

How We Collect Your Information

We collect most of your information from the organization that enrolled you (such as your employer), which provides your contact details and onboarding information when setting up its onboarding program in Upboard. We also collect information directly from you when you complete surveys or respond to messages. We do not collect mobile phone numbers through website forms for marketing purposes.

How We Use Your Information

We use your mobile phone number and messaging data to:

  • Send welcome announcements, reminders for scheduled onboarding activities (such as training sessions, surveys, and check-ins), and updates regarding your onboarding progress, via email and SMS.
  • Track and report your onboarding progress to your enrolling organization.
  • Honor your opt-out and help requests (STOP, HELP).
  • Operate, secure, and troubleshoot the Upboard service.
  • Comply with legal obligations.

All messages sent under this program are transactional onboarding notifications. We do not send marketing or promotional text messages.

SMS Text Messages & Frequency

If your organization enrolls you with a mobile phone number, you will receive transactional onboarding notifications, including welcome announcements, reminders for scheduled onboarding activities, and updates about your onboarding progress. Message frequency varies based on your onboarding schedule as configured by the enrolling organization. Message and data rates may apply. If you have questions about your text or data plan, contact your wireless provider.

How to Opt-Out

Reply STOP to any text message at any time to stop receiving SMS messages from Upboard. You may also text CANCEL, QUIT, END, or UNSUBSCRIBE.

Upon texting STOP, you will receive a single confirmation message confirming that you have been unsubscribed. Following that message, you will no longer receive text messages from us unless you choose to opt in again. Opting out of SMS does not affect your onboarding program or email communications.

How We Share Information

We do not sell, rent, lease, trade, or share your mobile phone number, opt-in data, or SMS consent records with third parties or affiliates for their marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We share your personal information only with:

  • Your enrolling organization, which receives your onboarding progress and survey responses.
  • Service providers that help us operate the platform — including telecommunications carriers, SMS and email delivery providers, and cloud hosting providers — strictly for the technical transmission and delivery of messages and operation of the service. These providers are contractually obligated to maintain confidentiality and are prohibited from using your data for any other purpose.
  • Others when required by law or to protect rights and safety.

Data Security & Retention

We protect your information using encryption in transit, access controls, and tenant-level data isolation. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We retain your personal information while your onboarding program is active and for as long as required by our agreements with your enrolling organization or by law. You may request deletion sooner as described below.

Your Rights & Choices

You may request access to, correction of, or deletion of your personal information. Because your information was provided by your enrolling organization, many requests are most effectively handled through that organization's administrator. You may also contact us directly using the contact information below, and we will respond within a reasonable period.

Children's Privacy

Upboard is intended for use with employees of participating organizations and is not directed to or intended for individuals under the age of 18. We do not knowingly collect mobile phone numbers or personal data from children.

Changes to This Policy

We may update this SMS Privacy Policy from time to time to reflect changes in our practices or legal requirements. When updates occur, we will revise the date at the top of this page. We encourage you to review this page periodically.
